GUILDPILOT TERMS OF SERVICE Effective date: 16 July 2026 ABOUT THESE TERMS These Terms of Service govern your access to and use of GuildPilot, including the GuildPilot Discord bot, website, dashboard, moderation tools, ticket tools, welcome features, activity systems, embeds, capsules, counting channels, automatic voice-channel systems and Pilot custom bots. By inviting GuildPilot to a Discord server, signing in to the dashboard, enabling a feature or otherwise using the service, you agree to these Terms. If you use GuildPilot on behalf of a Discord server, community, business or organisation, you confirm that you have permission to act on its behalf. If you do not agree to these Terms, you must not use GuildPilot. OPERATOR AND CONTACT DETAILS GuildPilot is operated by a private individual. Contact is provided exclusively via email. ELIGIBILITY You must have a valid Discord account and meet Discord’s minimum age requirements, as well as any higher minimum age required by the laws of your country. If you are not legally able to agree to these Terms yourself, you may use GuildPilot only with the permission of a parent or legal guardian. You must have the necessary permissions within a Discord server before using GuildPilot’s administration, moderation or configuration features. RELATIONSHIP WITH DISCORD GuildPilot is an independent third-party service. GuildPilot is not owned, operated, sponsored, approved or endorsed by Discord Inc. Your use of Discord remains subject to Discord’s Terms of Service, Community Guidelines, Developer Terms, Developer Policy and any other applicable Discord rules. You must not use GuildPilot in a way that breaches Discord’s rules or causes GuildPilot, its operator or a Pilot custom bot to breach those rules. Discord may change, restrict or remove features, permissions, APIs or bot functionality. GuildPilot is not responsible for interruptions or changes caused by Discord. GUILDPILOT SERVICES GuildPilot may provide features including: Discord server configuration and management tools; moderation and logging features; ticket creation, management and archiving; welcome messages and welcome cards; embeds and capsules; counting channels; member activity features; automatic voice-channel systems; dashboard access; bot performance and health monitoring; and Pilot custom bots. Available features may depend on your server configuration, Discord permissions, technical availability and reasonable usage limits. GuildPilot is under active development. Features may be added, changed, limited, replaced or removed over time. FREE ACCESS GuildPilot is currently provided without a mandatory subscription or paywall. Users may access the available GuildPilot bot, dashboard and community features without purchasing a paid plan, subject to technical availability, Discord permissions, reasonable usage limits and these Terms. GuildPilot may apply reasonable limits to prevent abuse, manage infrastructure costs, protect service stability or maintain fair access for other users. Providing a feature free of charge does not guarantee that the feature will remain available permanently or continue operating in its current form. FUTURE PAID FEATURES GuildPilot does not currently require payment to access its standard features. GuildPilot may introduce optional paid services, subscriptions, customisation packages or premium features in the future. No user will be charged automatically merely because paid features are introduced. Before any purchase is completed, GuildPilot will clearly display the applicable price, billing period, included features, renewal conditions and any additional terms. Users will be able to decide whether to purchase a future paid service. Existing use of GuildPilot will not create an automatic obligation to pay. Where reasonably possible, free and paid features will be clearly distinguished before a paid service is introduced. Future paid services may be governed by additional terms presented at the time of purchase. VOLUNTARY SUPPORT GuildPilot may provide users with the option to support the project voluntarily. Voluntary support may help contribute towards hosting, infrastructure, maintenance, support and continued development costs. Unless clearly stated otherwise at the time of contribution, voluntary support is not the purchase of a particular feature, subscription or guaranteed service. A voluntary contribution does not provide ownership rights, control over GuildPilot or a guarantee that a particular feature will be developed, released or maintained. SERVER OWNER AND ADMINISTRATOR RESPONSIBILITIES Server owners and administrators are responsible for: granting GuildPilot only the permissions reasonably required for enabled features; ensuring that GuildPilot is configured lawfully and appropriately; informing server members about moderation, logging, ticketing or activity features where required; reviewing actions performed through moderation and automation tools; protecting access to the dashboard and administrator accounts; removing access from administrators who are no longer authorised; ensuring that uploaded content does not breach the law or the rights of others; and ensuring that the server’s use of GuildPilot complies with Discord’s rules. GuildPilot provides tools to assist with server management. The server owner and authorised administrators remain responsible for decisions made using those tools. ACCEPTABLE USE You must not use GuildPilot to: break any applicable law or regulation; harass, threaten, exploit, deceive or harm another person; send spam, unsolicited messages or abusive automated content; collect, publish or expose personal information without lawful authority; impersonate another person, business, server or organisation; distribute malware, malicious links or harmful code; interfere with, overload, probe, test or attack GuildPilot systems; attempt to access accounts, servers, databases or features without permission; circumvent security controls, usage limits or access restrictions; abuse moderation tools or deliberately perform unauthorised actions against server members; use stolen, exposed, leaked or unauthorised Discord bot tokens; infringe intellectual-property, privacy or other legal rights; misrepresent GuildPilot as an official Discord service; resell or commercially exploit access to GuildPilot without written permission; or use GuildPilot in a way that could damage the service, its reputation, its users or third parties. GuildPilot may restrict or suspend features that are being misused or that create a security, legal or operational risk. USER CONTENT You retain ownership of content you submit through GuildPilot, including text, images, embed content, ticket information and configuration material. You confirm that you have the rights and permissions necessary to submit and use that content. You grant GuildPilot a limited, non-exclusive licence to process, reproduce, transmit, display and store submitted content where reasonably necessary to provide, secure, maintain or troubleshoot the service. This licence lasts only for as long as reasonably necessary to provide the relevant service, comply with legal obligations, protect the service or resolve technical and security issues. GuildPilot may remove or restrict content that: is unlawful; infringes the rights of another person; breaches these Terms; breaches Discord’s rules; or creates a security or operational risk. PILOT CUSTOM BOTS GuildPilot may allow an authorised server owner or administrator to connect a custom Discord application or bot. You confirm that: you own or are authorised to manage the Discord application; the application and token were obtained lawfully; you have permission to connect the application to GuildPilot; and your use of the custom bot complies with Discord’s rules and applicable law. GuildPilot may store the custom bot’s application ID, display settings, server configuration and an encrypted bot token so that the custom bot can operate. You must not share a bot token publicly. If you believe that a bot token has been exposed, leaked or compromised, you must immediately reset the token through Discord and contact GuildPilot. GuildPilot may stop or disconnect a custom bot if: the token becomes invalid; Discord suspends or restricts the application; the bot creates a security or operational risk; the bot is used unlawfully; or these Terms are breached. GuildPilot does not own customer-created Discord applications and cannot guarantee that Discord will approve, maintain or continue supporting them. MODERATION AND AUTOMATION TOOLS GuildPilot may provide moderation, logging, role-management, ticketing and automation tools. These tools are intended to assist server owners and administrators. They do not replace human review or administrator judgement. You are responsible for checking: bot permissions; role hierarchy; moderation settings; automated actions; ticket access; logging channels; and any other server configuration. GuildPilot does not guarantee that automated systems will identify every violation, prevent every harmful action or operate correctly in every possible situation. GuildPilot is not responsible for moderation decisions made by server owners, administrators or members using the service. ARTIFICIAL-INTELLIGENCE FEATURES GuildPilot may offer features that use artificial intelligence or automated content generation. AI-generated responses may be incomplete, inaccurate, inappropriate or out of date. You must not rely on AI-generated content as legal, financial, medical, safety-critical or professional advice. Important information should be independently checked before being relied upon. GuildPilot may apply usage limits, moderation systems or other safeguards to AI features to control costs, prevent abuse and protect users. SERVICE AVAILABILITY GuildPilot uses Discord, OVHcloud and other third-party services and infrastructure. GuildPilot aims to provide a stable and reliable service, but uninterrupted, error-free or permanently available operation is not guaranteed. GuildPilot may be affected by: Discord outages or API changes; hosting, server or network failures; planned or emergency maintenance; software bugs; cybersecurity incidents; third-party service failures; or events outside GuildPilot’s reasonable control. GuildPilot may temporarily suspend part or all of the service to perform maintenance, resolve technical problems, address security risks or prevent damage. CHANGES TO FEATURES GuildPilot is actively developed. GuildPilot may add, change, limit, replace or remove features where reasonably necessary. Changes may be made because of: technical requirements; security requirements; hosting and infrastructure costs; Discord API or policy changes; legal or regulatory requirements; abuse prevention; service maintenance; or continued product development. GuildPilot will aim to avoid unnecessary disruption, but does not guarantee that every feature will remain available in its existing form. DATA AND PRIVACY GuildPilot’s collection, use and storage of information are described in the GuildPilot Privacy Policy. GuildPilot generally stores server information and configuration data for as long as GuildPilot or an associated Pilot custom bot remains connected to the relevant Discord server. Removing the bot may stop further collection of server data. However, previously stored information may remain until it is deleted through the dashboard or a deletion request is completed. To request deletion of stored server data, contact: support@guildpilot.co.uk The request should include the relevant Discord server ID and enough information to confirm that the requester is the server owner or an authorised administrator. Some limited information may be retained where reasonably necessary for: security; fraud and abuse prevention; legal compliance; dispute resolution; backup recovery; or the protection of GuildPilot and its users. TICKET TRANSCRIPTS Where ticket archiving is enabled, GuildPilot may generate a ticket transcript and send it to the Discord archive channel configured by the server administrator. Ticket transcript text is not stored in the GuildPilot database after it has been sent to the configured Discord archive channel. Copies stored within Discord are subject to Discord’s own terms, privacy practices and data-retention systems. Server owners and administrators are responsible for controlling access to transcript archive channels. HOSTING AND THIRD-PARTY SERVICES GuildPilot uses OVHcloud to host its services and infrastructure. GuildPilot may also depend on or integrate with third-party services, including: Discord; authentication providers; email providers; monitoring systems; content-delivery providers; and other infrastructure providers. Your use of those services may be subject to separate third-party terms and policies. GuildPilot is not responsible for changes, restrictions, suspensions, outages or decisions made by third-party providers. INTELLECTUAL PROPERTY GuildPilot’s software, website, branding, designs, documentation and original content belong to the GuildPilot operator or its licensors. These Terms give you a limited, revocable, non-exclusive and non-transferable right to use GuildPilot for its intended purpose. You must not, without written permission: copy or redistribute GuildPilot’s private software; sell or sublicense GuildPilot; use GuildPilot’s branding in a misleading manner; claim ownership of GuildPilot; or commercially exploit GuildPilot’s systems, software or documentation. These Terms do not transfer ownership of GuildPilot’s intellectual property to you. FEEDBACK AND SUGGESTIONS You may choose to provide feedback, ideas or feature suggestions to GuildPilot. You remain the owner of any intellectual property rights that you already hold in the submitted material. You give GuildPilot permission to use, adapt and implement general feedback and suggestions without an obligation to pay compensation. You should not submit confidential information through general feedback channels. SUSPENSION AND TERMINATION You may stop using GuildPilot at any time by disabling features, signing out of the dashboard or removing the bot from your Discord server. GuildPilot may restrict, suspend or terminate access where it reasonably believes that: these Terms have been breached; Discord’s rules have been breached; applicable law has been breached; a bot token, account or server has been compromised; the service is being abused; continued access creates a security, legal or operational risk; or suspension is required by Discord, OVHcloud, another provider, a court or a public authority. Where reasonably possible, GuildPilot will explain the reason for suspension and provide an opportunity to resolve the issue. Serious misuse, fraud, attacks, unlawful conduct or immediate security threats may result in suspension without advance notice. EFFECTS OF TERMINATION When access is terminated: GuildPilot may stop providing the service to the affected user or server; connected custom bots may be stopped; dashboard access may be removed; and data may be deleted or retained in accordance with the Privacy Policy. Sections relating to intellectual property, liability, disputes and any other provisions intended to survive termination will continue to apply. DISCLAIMERS GuildPilot is provided as a server-management, community and automation service. GuildPilot does not replace: human moderation; administrator judgement; legal advice; professional cybersecurity advice; or professional technical support. GuildPilot does not guarantee that: every feature will always be available; every error will be corrected immediately; every harmful action will be prevented; every integration will remain compatible; or every automated result will be accurate. You remain responsible for reviewing your server configuration, permissions, content and automated actions. LIABILITY Nothing in these Terms excludes or limits liability where doing so would be unlawful. This includes liability for: fraud or fraudulent misrepresentation; death or personal injury caused by negligence; or legal rights that cannot lawfully be excluded. GuildPilot is responsible for losses that are a foreseeable result of its failure to use reasonable care and skill or its material breach of these Terms. GuildPilot is not responsible for losses caused by: events outside its reasonable control; Discord decisions or outages; third-party service failures; unauthorised actions by server administrators or members; incorrect server configuration; a failure to protect account credentials or bot tokens; or content submitted by users. GuildPilot is not responsible for indirect or consequential losses where liability for those losses can lawfully be excluded. If you use GuildPilot for business or commercial purposes, GuildPilot will not be liable, to the maximum extent permitted by law, for: loss of profit; loss of revenue; loss of business; loss of opportunity; loss of anticipated savings; or loss of business data caused by the user’s failure to maintain appropriate backups. Nothing in these Terms limits mandatory consumer protections. SECURITY GuildPilot takes reasonable measures to protect its systems and stored information. No internet-based service can guarantee complete security. You are responsible for: using secure Discord and email accounts; enabling available account-security features; protecting dashboard sessions; protecting custom bot tokens; removing unauthorised administrators; and reporting suspected security incidents promptly. Security concerns should be reported to: support@guildpilot.co.uk CHANGES TO THESE TERMS GuildPilot may update these Terms to reflect changes to: the service; available features; the law; Discord requirements; security practices; hosting arrangements; or future commercial services. The updated Terms will be published on the GuildPilot website with a revised effective date. Where a change is material, GuildPilot may provide additional notice through the dashboard, Discord or another reasonable method. Continued use of GuildPilot after updated Terms take effect means that you accept the revised Terms, except where applicable law requires separate consent. GOVERNING LAW AND DISPUTES These Terms are governed by the laws of England and Wales. If you are a consumer, you continue to benefit from any mandatory legal protections available in the country where you live. Before beginning formal legal proceedings, you agree to contact GuildPilot at support@guildpilot.co.uk and allow a reasonable opportunity for the matter to be investigated and resolved. The courts of England and Wales will have jurisdiction, except where consumer law gives you the right to bring proceedings in another court.
