Ask members for structured information before a private ticket is created using yes-or-no, choice-list and fillable text questions.

How to add intake questions to GuildPilot tickets

Ticket intake questions collect the details staff need before GuildPilot creates the private channel. A ticket type can contain up to five questions using yes-or-no, choice-list or fillable text answers.

Before you start

  • Create or open a reusable ticket type under Tickets → Ticket buttons.
  • Decide which details are necessary for that specific support workflow.
  • Avoid asking members to submit passwords, bot tokens or other secrets.

Warning: Answers are shown to staff inside the created ticket. Ask only for information your support team is authorised to receive.

Add intake questions

1. Open the ticket type

In Tickets, open the intended ticket type and find Questions before opening.

2. Add the first question

Select + Add question. Enter Question for the member, keep the question enabled, and choose Answer type.

3. Configure the answer type

Use Yes / No for a binary confirmation, Choice list for a controlled set of unique options, or Fillable text box for a written response. Choice-list values are entered one per line and require at least two choices.

4. Add and review the remaining questions

Add up to five questions. You can switch off a question to keep it saved without asking it. Review Member form preview to confirm the visible order and labels.

5. Enable the form and save

Turn on Ask questions before opening the ticket only after at least one question is enabled, then save the ticket type.

Put the quickest questions first and use a choice list when staff need consistent routing information. Keep free-text prompts narrow enough that members know what a useful answer contains.

Test the setup

  1. Select the ticket type from its published panel using a normal member account.
  2. Complete every enabled question and submit the form.
  3. Confirm that GuildPilot creates the ticket only after submission and displays the answers for staff.
  4. Close the test ticket when finished.

What a successful setup looks like

Selecting the ticket type opens the member form first. After every required response is submitted, GuildPilot creates the private ticket and includes the answers for the support team.

Common problems

The form cannot be enabled

Cause: No enabled question has usable text.

Fix: Add and enable at least one complete question or turn the form off.

A choice-list question is rejected

Cause: It has fewer than two choices, repeated choices or a value beyond Discord's supported field limit.

Fix: Enter unique concise choices, one per line, and follow the limit shown by the editor.

Members open a ticket without seeing questions

Cause: Ask questions before opening the ticket is disabled or every saved question is switched off.

Fix: Enable the form and at least one question, save the type, then use the latest panel.
